Mailing Instructions
Mailing Instructions
The instructions below are to be used as a guide and it's expected that the user has some basic knowledge of AccuZip6. There is a training video on Carlisle File/z Operator Manuals/AccuZIP6.
If additional guidance is needed AccuZIP provides great support via chat or telephone and can help even the most inexperienced users.
Mailing Lists
When importing a list, the field headers must be First, Last, Company (if applicable), Address, Address2, City, St, Zip. The fields need to be named as such so AccuZip can read and process the records through NCOA Link. The full name can be in the First field. If City, State, and Zip are in the same field, name the header "City."
Processing the List
Start AccuZip and select whether you want to open a new list or a previous mailing. Browse to the list you want to import from the import window. After selecting your list, click the "Use Header" check box in import window.
Once you've imported the list, validate the records and check for duplicates, either by name, or address and delete them.
Presorting
Click on the presort button and select one of the customer presets. If one isn't listed then manually enter the mailing class, size, thickness, and weight of the mailing piece. Mailing prices are based on weight so make sure the weight you enter is correct. Adjust the amount of mailing pieces that go into a container/bag so it's not too heavy for the mailing operator. Save the presort folder in the same location as the mailing list is being stored.
Print Presort
After the list has been presorted click on "Print Presort."
--Tags
Print tags for the mailing containers/bags.
--Mailing Statement
Print the mailing statement. You can print directly from AccuZip or choose to make a PDF that will automatically be saved to the presort folder. Print a copy of the first 5 pages of the statement, this will be used to write a check and then filed once the mailing is done.
--Print Labels
Click on "Print Labels." Set the output to "Disk File" and continue to the next window. Select one of the customer export maps, or if one isn't listed for your customer, use the "Carlisle Standard Export" map and export it to a TX2 file. If you export the list to a CSV file for variable data printing, make sure "Suppress Blank Lines" is unchecked.
*Foreign Mailing Lists*
Foreign mailing lists do not get presorted, validated, or processed through NCOA Link. Once you import a foreign list, go directly to File/Export and select an export map there or manually map the fields you want. If you select an export map remove the fields, Imbarcode, Pagemark, and Endorsement. If you do not remove these fields the list will not export.
